Value Matters with Document Scanning

Document scanning is the process by which our paper documents are saved to disk; by storing files in an electronic format we are able to save significant storage space as well as ensure that our information is saved in the most effective and safest way possible. This allows public companies to ensure that they are as compliant as possible in terms of giving government entities the information they require; as well as allowing companies both public and private the opportunity to best meet the needs of their customers and clients and make the jobs of their employees much more efficient.

But document scanning also offers value. Consider how much storage space is necessary to hold file cabinets filled with paper documents; and the amount of money that this costs companies, especially when their office space is no longer adequate to hold such file storage and additional storage must be rented in third-party locations. With the amount of growth that a company experiences on a year to year basis, their paper storage grows as well; storage that must be adjusted and managed – all on the dime of the company.

Consider also, the amount of money that must be expended by companies to have the manpower to deal with such storage. Whenever a particular piece of information is required by a company an employee must go and find this information. And when new documents are created, they must be filed appropriately, requiring an employee of the company to be knowledgeable about how the filing system works and keep up with it accordingly.

The electronic files, however – those that are created by document scanning professionals – provide the real value for a company. An 80 gigabyte hard drive hold over 2 million documents and costs just over $100; this amount contrasted with the amount it costs companies on a yearly basis to manage paper documents shows the real value in document scanning.
