Can You Really Afford NOT to Have Document Scanning? Part II

In the last post I shared with you my experience working in a very disorganized company that was finding it hard to detach itself from the paper documents of the past. Instead, file cabinets housed piles upon piles of paperwork – information that wasn’t doing anyone any good shoved in a drawer in no particular order – and employees were frustrated on a daily basis as they tried to integrate their old system with their new system that was largely computer based.

I shared with company management some research I had done on document scanning and how such a service would essentially take all of our paper documents and convert them into electronic files that would be more appropriate in our current workspace. While management questioned the inconvenience this could mean to our daily operations – as well as the price – I was able to show them that the process itself would be short and sweet and that the return would be a much more organized, efficient, and compliant office. As far as the price, I showed them the competitive rates that I found and assured them that such a price was a small one to pay in order to ensure that were in legal compliance should we ever need to produce particular documents. Plus, the level of efficiency we were giving our employees was priceless and would pay off dividends in terms of a more effective work team.

Document scanning worked wonders for the office. The company came in, removed all of our paper documents, and within days they returned to us all of the same information saved in an organized fashion to disk. The disks were also indexed so that we knew where each piece of information existed. Before long we were able to remove those bulky file cabinets, freeing up office space and giving us a cleaner more efficient work environment.

Better yet, information is always ours for the taking – right at our fingertips when we need it thanks to document scanning.
