My grandmother – my last surviving grandparent – recently passed away. She left behind a family that will miss her greatly. And she also left behind ninety years of accumulated personal belongings. Between her and my grandfather I believe they may have saved every newspaper they ever read, starting from the 1950s. This, of course, made the prospect of cleaning out their house something of a daunting challenge. They had lived there for fifty-five years; the last fifteen of those my grandmother was on her own as my grandfather had passed away. This actually made the situation worse as she was not able – or unwilling – to do much of the organization that they had attempted to do as part of their routine prior to his death.
The attic was the worst; and, as it turned out, the best. My sister and I – charged with this monumental job – set to work cleaning and sorting everything in the attic into bins to be discarded, go to family members, go to charity, or be sold in the large yard sale we were planning to host. What I was unprepared for was the amount of paperwork that had been stored up there for decades; some of it very personal and historical pieces. I wondered how I was going to be able to keep some of the documents that I really wanted to save; and “some” was not even the right word as there were literally file cabinets full of stuff.
That’s when I took a page from my business’s book and called a document scanning service. We had used a document scanning company at my job when we had all finally gotten our new computer systems that linked us with our sister office in Europe. While it was great to have this new system, we still had so many paper documents left in filing cabinets. Other than scanning one piece at a time, as we needed them, there was no efficient way for us to get what we needed onto the system without wasting time and money.
But the document scanning service came in and within days we had all of our paper files saved to disk. Better still, they stored all of the paper files we wanted to keep as backup in a secure off-site location.
It turned out that document scanning was just as appropriate in my current situation. Most of us know what it feels like to be out of control; to have things get away from us and feel completely overwhelmed by it all. In our homes, it can easily get to the point where stuff is piled on top of stuff and the thought of going through and organizing it all is about as overwhelming as it gets. The problem with projects such as this is that the longer you wait, the worse it gets and most of the time we just wind up throwing things into storage and trying to forget about it. For those of us who are organizationally challenged, we have tried everything to stay on task; to stay focused with the challenges at hand and face the ever-expanding and dreaded to-do list.
