Businesses are not immune from the economic state of the country and many businesses are finding themselves in the position of having to scale back in order to make ends meet and protect their bottom line. For some companies this process of scaling back means the reduction of their staff or particular services that they have been able to provide up until now. For other companies, scaling back may mean the downsizing of their actual physical space.

Downsizing a space can be challenging to say the least. There is, of course, the physical move that must take place – the transfer of furniture and office equipment to a new location. Further, there must be the consideration for the fact that businesses will be trying to fit furniture and equipment from a larger space into a smaller space; there is certainly a challenge in making that happen.

While it may be necessary to eliminate some of the furniture and equipment that is being moved into the smaller space, there are other ways in which to combat the clutter that is associated with such a move. Paper documents clearly take up a considerable amount of space – often housed in file cabinets that can hold years upon years of information – some of which is not needed but must still be kept, and some that is accessed on a daily basis. In either situation, document scanning can help businesses organize their paperwork so that a downsizing of office space does not necessarily mean chaos will ensue.

Through document scanning our paper documents can be transferred into electronic files. Clearly a few disks that hold all of this information takes up far less room than file cabinets filled with paper documents. Through document scanning, paper files are fed into commercial sized scanners where the information is captured and then saved to disk. While document scanning won’t solve all of the challenges associated with an office downscale, it will allow offices to take control, get organized, and reduce their paper footprint considerably.
