Rome wasn’t built in a day someone once said; and the same can be said about the modern office. For those of us reorganizing our offices – yes, reorganization is a necessity especially as we face the ever-changing technology that continues to come our way – we may find that we are, in fact, facing something that is tantamount to creating an entire society. In fact, for most business owners – especially small business owners for whom this is a day to day consideration as we are most often completely involved in the daily operations of the office – the thought of reorganizing our space to resemble something that may be considered orderly is just too overwhelming to consider. And so we don’t.
But turning away from the reality doesn’t make that reality go away. In fact, it makes it worse; much, much worse. Consider those companies that have a host of paperwork taking up every conceivable space in their office – file cabinets, desk drawers, the floor – you name it. With the computer now our constant companion, the need for paper documents is null and void. But someone forgot to tell that to the file cabinet. In the last post we discussed how offices worldwide have largely made the transition from paper to computer; and most companies are now exclusively online. This leaves those companies that have not made the transition significantly behind in terms of how they are perceived by prospective customers and clients. Most of us are online and when we encounter a business that is not we may tend to shy away thinking that they are not up to speed in terms of technology.
Those companies that are making the transition online may need some help with regard to organizing all of their paper documents that they may still have crowded into file cabinets. In this respect, document scanning professionals can be most helpful in assisting companies that want to take the information they currently have on paper and save it electronically so it can be better used online.
Companies can expect document scanning professionals to either remove the paper documents from their offices or perform their scanning services on-site depending upon the needs of the business. So dependent are we on the Internet that there is hardly an office left that does not operate almost entirely online. We have gotten to the place in which we save client records, do reports, engage in communication, and even do our billing on the computer. The paperless office, as it seems, is here to stay and those who are not able to keep pace may quickly find themselves pushed to the back or out of the race altogether. After all, we need to be able to provide our clients and customers with what they expect and what they need – and the most efficiency is found online. And when our clients and customers are online and we are not, this automatically causes us to lose a certain amount of credibility. How often are we turned off today by a business that we may otherwise consider talking to for services but we find does not have a website? For many of us this is simply a deal breaker, as – like it or not – we somehow equate this inability to keep pace with technology a direct reflection of the company’s lack of ability.
For those businesses looking to make the leap online, there are many things to consider, not the least of which is actually making the transition. For those who have been operating on paper there becomes the issue of transferring all of these paper documents to electronic files that will be able to be better used in this new office environment. In this respect, document scanning professionals can be most helpful.

In the last post we discussed the lengths that businesses will go to in order to ensure that they are doing business with top notch vendors that will deliver on their promises and ultimately make them more effective. Such consideration is given to all our vendors and should also be given to those vendors that provide a modern, albeit largely unknown, service including a document scanning service.

A good business – in order to be successful – must rely upon great vendors of every capacity. There is no stressing this enough; those companies that we call upon to do the myriad of jobs that must be done on a daily basis in order to keep us effective and earning money must be at the top of their game so that we can be at the top of our game.
To that end, business owners and management spent an inordinate amount of time choosing their vendors based on specific criteria that they have set forth. There is often a bidding process through which potential vendors are asked to submit their best prices along with the products and services they expect to be able to provide. And from that information businesses are able to choose which vendors most suit them in terms of budget and serviceability.
Ultimately by choosing vendors that are able to give us what we need at a competitive price and allow us to be more effective because of their experience win the day.
Document scanning professionals are vendors that many businesses may not have thought of until they were faced with a situation and explored the ways in which they could extricate themselves from their problem. The problem in this case being the inundation of paper documents that tends to take over an office even in the face of pervasive computer usage.
In fact, it’s almost laughable how much paperwork many of us still have even though we work almost entirely on the computer. In the last post I shared with you my experience working in a very disorganized company that was finding it hard to detach itself from the paper documents of the past. Instead, file cabinets housed piles upon piles of paperwork – information that wasn’t doing anyone any good shoved in a drawer in no particular order – and employees were frustrated on a daily basis as they tried to integrate their old system with their new system that was largely computer based.
I shared with company management some research I had done on document scanning and how such a service would essentially take all of our paper documents and convert them into electronic files that would be more appropriate in our current workspace. While management questioned the inconvenience this could mean to our daily operations – as well as the price – I was able to show them that the process itself would be short and sweet and that the return would be a much more organized, efficient, and compliant office. As far as the price, I showed them the competitive rates that I found and assured them that such a price was a small one to pay in order to ensure that were in legal compliance should we ever need to produce particular documents. Plus, the level of efficiency we were giving our employees was priceless and would pay off dividends in terms of a more effective work team.
Document scanning worked wonders for the office. The company came in, removed all of our paper documents, and within days they returned to us all of the same information saved in an organized fashion to disk. The disks were also indexed so that we knew where each piece of information existed. Before long we were able to remove those bulky file cabinets, freeing up office space and giving us a cleaner more efficient work environment.
Better yet, information is always ours for the taking – right at our fingertips when we need it thanks to document scanning.

I recently worked in an office that was by far the most disorganized space that I had ever had the misfortunate in which to (attempt to) work. There were file cabinets upon file cabinets crowding the hallways – into which papers were haphazardly filed in a mishmash system that it was doubtful anyone understood. And if those file cabinets weren’t enough – already blocking the hallways in a bulky display that was both inefficient and unattractive – there were papers strewn across desks everywhere that you looked. It was a just a mess. If I had a nickel for every time I heard someone lamenting their loss of this paper or that, I would have been rich within the space of a month. And it just didn’t make any sense to me considering that the office operated almost entirely online; we all had computers which were supposed to give us a more organized and efficient operating platform. But trying to combine the old and new way of doing things was only serving to make things that much more disorganized.
At some point, when I felt comfortable enough with management to voice my opinion, I suggested that the company investigate the services of a document scanning professional that could essentially help them take all their paper documents and put them into electronic files that they could work with more readily. This would also eliminate the need for the file cabinets that were only serving to clutter the already burgeoning space and I told them that they would find the information that they were saving would be saved more effectively in terms of keeping it safe from damage and loss.
Initially the big concern was how the operation of a document scanning company would affect our operations, and, of course, the price of such a service. But I showed them the research that I had done; some of the top document scanning companies would perform their service in their offices or in their clients’ offices – whatever was more convenient; and the project would be completed in a fast, efficient, and organized manner so that daily operations were not impeded. As far as the price, it was competitive, and besides – I countered – how much would we wind up spending in legal fees for failing to produce documents for compliancy purposes when were unable to find those documents in our own file cabinets?

In the last post we discussed the use of the term “paperless office” as applied to the vision of the modern workplace being one that is entirely computer-centric. The reality is, however, that while a vast majority of businesses have given way entirely to working online, they are holding vast stores of paper documents from their past – storing them in file cabinets that take up space and create ineffective roadblocks for employees and, in turn, a disservice to clients and customers.
With the use of document scanning professionals, however, businesses are able to turn all of their currently ineffective paper documents over to be scanned and saved electronically. This is not a feat to be taken lightly and not one that should be considered appropriate for the average desktop scanner. The paperless office is something that we have all heard of; the phenomenon spurred by the Internet. After all, with the computer completely revolutionizing the way in which we do most everything during the course of our normal day, it stands to reason that the office environment would be stunningly different in the wake of the Internet. And it has changed drastically. Those processes that used to take us many hours in manpower and time now take mere moments – increasing our efficiency and allowing us to serve our clients and our customers in a much more effective manner.
But the efficiency of the paperless office only extends to those areas that are truly paperless; that is, the information that has made its way to an electronic format or was created on the computer from the start. Efficiency comes to a screeching halt in front of the file cabinet that still holds reams of paper documents with which no one has a clue what to do. Running to a file cabinet and sifting through the stores of documents takes more manpower than anything and wastes significant time and efficiency. And the amount of space that is taken up by such file cabinets is the other downfall of this kind of storage.
Therefore, in their quest to become truly paperless, many businesses and organizations turn to professional services for document scanning – a service that takes the paper documents we may all still be storing for no reason and converts them into electronic files that we can use in a much more efficient way.
