Protecting Your Information with Document Scanning, Part I

Filed under: Document Imaging — Document Scanning Service Expert @ 7:27 am

The computer has brought along with it some of the highest level of convenience many of us are likely to see in our lifetime. The world has been essentially opened before us – spread out on our computer screens – welcoming us access to everything and anything we could ever dream of needing or wanting. It’s really quite overwhelming when you consider the size, scope, and magnitude of what is offered online. This is not to say, however, that businesses immediately jumped onboard and committed their resources – and all their information – to the computer. The transition in this capacity has actually been quite slow and steady, especially when you consider how long computers and, more recently, Internet technology has been available to us, and how many businesses still complete some of their operations manually on paper.

However, slowly but surely businesses are making a committed and comprehensive transition, recognizing that it is well within their interests to have all of their information saved electronically, as much for compliancy issues as anything else. By information being stored electronically, companies are able to produce information instantaneously – an absolute must for those public companies that must retain a profoundly exceptional level of compliance. The way in which most companies have been able to take their filed information and transition it to electronic files is through document scanning – a process through which papers are fed into a scanner and the information is scanned and saved to disk.

Document scanning has helped companies in remaining compliant and freeing their workspace from cluttered storage. But it has also provided an extra layer of protection in terms of keeping important information safe. When information is saved electronically it can be backed up so that it is protected should anything happen to the disk, to the computer, or to the server. Paper files do not provide this same luxury.

In the next post, we’ll discuss the ways in which document scanning can offer companies a higher level of protection.

Remaining Compliant with Document Scanning

Filed under: Document Imaging, Document Scanning Service — Document Scanning Service Expert @ 7:17 pm

Compliance is the buzzword of corporate America today. There are many hoops that the modern company must jump through in order to prove that they are operating above board and within the parameters set forth by industry standards. Many compliancy requirements that companies must meet pertain to the Sarbanes-Oxley Act of 2002 – a federal law that was created in response to large showings of corporate irresponsibility (Enron being the largest example). The U.S. Government wanted to make sure that companies were held more accountable for their actions – or lack thereof – and they followed the appropriate avenues to prove this compliancy. The Sarbanes-Oxley Act provides a checks and balances for public companies and such companies are required to comply with the legislation detailed within the Act that calls for strident financial reporting.

Inherent in the Sarbanes-Oxley Act is the importance of companies being able to put their hands on the information they need when they need it. Document scanning is a process that provides public companies with the resources they need to remain compliant. Document scanning solutions are provided by professional companies that will help businesses transition their paper documents into electronic files that can be accessed immediately and conveniently.

When a professional document scanning provider works with a company they remove their paper files and scan them into large scanners that are equipped to handle larger projects. Once the information is captured through scanning, it is saved to disk in organized files. These files provide company management with instant access to the information that they need at any time. This provides convenience in a number of areas including:

* Allowing employees access to the information required to satisfy the needs of clients and customers.

* Providing management and ownership access to the tools they need to remain compliant at all times; no matter what information is requested company principles can put their hands on it with just a touch of a button.

Document Scanning Professionals Offer More than Scanning

Filed under: Document Imaging — Document Scanning Service Expert @ 3:46 pm

Storage is something that all companies have to deal with; there is no way around the fact that for as long as most of us remember we have done our work on paper and we have the evidence to prove it – in file cabinets, stacked in drawers, thrown on desks, and taking up space in specially rented storage spaces.

Now that most of our work is done almost exclusively online, we have little use for the paper that we have held onto with such vigor – but we may still need the information that is on the paper. Document scanning solutions are now available that help companies – and individuals – sort, organize, and save the information on paper in much more meaningful way that conserves space.

Professional companies that provide document scanning solutions will scan a client’s paper documents and save the material to disk. But beyond these scanning services, many document scanning professionals provide the aftercare associated with such a process. A client will be given electronic files that will allow them to save their information in the safest and most effective way possible. But this does not mean that the paper from where the information came has automatically disappeared; which means that companies still need a solution for dealing with these paper documents.

Document scanning solutions provided through professionals helps clients deal with the paper documents leftover after the scanning process. Such solutions may include the shredding of the paper that is no longer required – helping companies stay compliant by safely discarding any information that could be considered sensitive or confidential.

Another solution is that of storage, which is often provided by document scanning professionals. Paper documents that are left behind after a scan are organized, categorized, and filed accordingly – after which they are stored in a secure off-site location; ultimately clearing space in offices.

Clean Out an Attic with Document Scanning

Filed under: Document Imaging — Document Scanning Service Expert @ 5:12 pm

Living in any home for an extended period of time means that we have more of an opportunity to accumulate the things that can ultimately weigh us down. Clutter is rampant in American homes as we historically have shown little effectiveness in parting with those things we simply no longer need. We are a society of pack rats, the evidence of which can be seen in our basements, closets, and attics burgeoning with stuff we not only do not need but do not even know we have.

This summer may mark a time for many of us to roll up our sleeves and get to work in organizing our space and significantly reducing our clutter. This means setting to work in many areas of our home – pouring through file cabinets, boxes, and other storage spaces that have seeped into the nooks and crannies of our homes.

Through this process, it will hopefully be determined which of those things we are hanging onto should be kept and which should be discarded. Those items that we do not need can be sold, given away, or thrown out. And for those items that we wish to keep, there are certainly a variety of organization systems that can help us effectively store them the right way.

But storage systems do not provide assistance in terms of dealing with the papers we have kept. Rather, document scanning professionals may be the best in dealing with this situation.

Through document scanning, information on paper is able to be transferred to electronic files through the process of scanning. Paper documents are fed into a commercial scanner – large and effective enough to deal with large projects – where the information is captured and then saved to disk.

At the end of document scanning, consumers are given these disks which can certainly be stored much more effectively and safely than their paper counterparts; as well alleviating clutter.

Document Scanning Takes Load off Employees

Filed under: Document Imaging — Document Scanning Service Expert @ 3:36 pm

It takes an inordinate amount of teamwork to make any company work and be successful. It is not just about the ownership and it’s not even about management; it is about a common commitment by ownership and management and the continued hard work of the team they have put together. Today, most employees play a number of different roles within an organization; they are part administrative, part sales, part marketing, part human resources, and even part management. With the many hats that company employees wear on a daily basis it becomes absolutely essential that they are as organized as possible. Document scanning can help.

There is not a company out there that hasn’t gone through the transition from paper to computer. Today every company office is completely centered on the computer; it is where we perform 90% - if not more - of our job functions. But this was not always the case. In fact, in just recent years past most of us did the majority of our work on paper and we have the file cabinets to prove it.

Document scanning takes those paper documents and makes them far more effective in the modern work environment. Paper documents are fed through commercial scanners that are used by document scanning professionals. To this end, a company’s paper documents can either be removed from their premises where they are scanned and returned or document scanning professionals can come on-site and perform their scanning on their client’s premises. Once the paper documents have been scanned, the information is captured and saved electronically to disk. The client is returned these disks as well as the paper documents should they choose to retain them.

Document scanning allows employees to be far more organized in what are often chaotic work environments. Further, document scanning allows companies at large to have much greater access to the information that they need on a minute to minute basis.

Document Scanning Makes Storage Dilemmas Disappear

Filed under: Document Imaging — Document Scanning Service Expert @ 5:44 am

Storage is something that all businesses share in common when it comes to the challenges of running an office. After all, after many years of being in business we undoubtedly wind up with a substantial amount of paperwork and storing that paperwork becomes something all companies must address. Usually, paper is relegated to one or several file cabinets where it remains; and the number of file cabinets that are put to use increase as our needs grow. Before long we are facing a storage dilemma and the challenge becomes how to fix it without having to physically move office space.

In making this work, professionals that provide document scanning allow companies to take control of their storage space in an aggressive manner. Through document scanning, information that is currently held on paper is able to be scanned and saved electronically. This significantly reduces the footprint in the office made by stored information and allows businesses to rearrange their space to best accommodate their needs rather than just using space that is currently not being used for storage.

With document scanning, paper documents are fed into scanning machines where the information is captured and then saved electronically to disk. We may have all seen this process through our own personal desktop scanners; but document scanning professionals are able to take the process to the next level – completing large projects quickly and efficiently.

By the time document scanning has been completed, companies are left with disks rather than huge filing cabinets filled with paper. This completely eliminates storage challenges for any business and for smaller offices this can completely revolutionize the way in which they have been able to set up shop.

Further, having information on disk rather than shoved away somewhere in a file cabinet is much more helpful for company employees and for businesses that – in an effort to remain compliant – must be able to lay their hands on pertinent information quickly.

Downsize Office Space More Efficiently with Document Scanning

Filed under: Document Imaging — Document Scanning Service Expert @ 8:02 pm

Businesses are not immune from the economic state of the country and many businesses are finding themselves in the position of having to scale back in order to make ends meet and protect their bottom line. For some companies this process of scaling back means the reduction of their staff or particular services that they have been able to provide up until now. For other companies, scaling back may mean the downsizing of their actual physical space.

Downsizing a space can be challenging to say the least. There is, of course, the physical move that must take place – the transfer of furniture and office equipment to a new location. Further, there must be the consideration for the fact that businesses will be trying to fit furniture and equipment from a larger space into a smaller space; there is certainly a challenge in making that happen.

While it may be necessary to eliminate some of the furniture and equipment that is being moved into the smaller space, there are other ways in which to combat the clutter that is associated with such a move. Paper documents clearly take up a considerable amount of space – often housed in file cabinets that can hold years upon years of information – some of which is not needed but must still be kept, and some that is accessed on a daily basis. In either situation, document scanning can help businesses organize their paperwork so that a downsizing of office space does not necessarily mean chaos will ensue.

Through document scanning our paper documents can be transferred into electronic files. Clearly a few disks that hold all of this information takes up far less room than file cabinets filled with paper documents. Through document scanning, paper files are fed into commercial sized scanners where the information is captured and then saved to disk. While document scanning won’t solve all of the challenges associated with an office downscale, it will allow offices to take control, get organized, and reduce their paper footprint considerably.

Document Scanning Allows for Big Changes

Filed under: Document Imaging — Document Scanning Service Expert @ 3:20 pm

Change is inherent in life in general; just as we get settled into one routine, we quickly – and inevitably – face the presentation of an entire new set of circumstances. Such is the way of the world; and the business community is just as vulnerable to this as any individual.

Businesses experience the ebb and flow that is also common to the human condition. Just as they adjust to their current situation – or figure out a way to deal with a minimized cash flow – they quickly come to have a completely new experience and their tactics must be adjusted accordingly. Savvy businesses understand how crucial it is to have important resources at their disposal that allow them to quickly and efficiently adjust. Professionals that provide document scanning provide one such resource.

Document scanning is the process through which information that is currently held on paper is transferred to an electronic file. While this may seem like a small component in the larger picture of that which makes a business successful, document scanning is undeniably a significant reason why companies are able to streamline their office procedures, protect information safely, remain compliant, and allow their employees to have fast and easy access to all of the information they need. And so in terms of helping a company adjust, document scanning is an essential component.

There are many reputable services that provide document scanning; they will either remove the paper documents from the office that need to be scanned or even work on-site if there are sensitive documents that must be kept on the premises according to corporate or industry guidelines. Paper documents are then fed into the scanners – scanners that are commercial sized and able to keep pace with even the largest of projects – where the information is captured and then saved electronically to disk.

Document Scanning Helps New Companies Set up Shop

Filed under: Document Imaging — Document Scanning Service Expert @ 12:43 pm

Companies everywhere battle everyday in this competitive corporate environment in order to stay afloat, stay in the black, and continue to offer their customers high quality products and services at competitive prices. For new companies, the challenge is even greater as they introduce their products and services to their targeted audience in an effort to brand their company’s name and grow their customer base.

For some companies that are the new face of an old company – they are left with making over that which has already existed. Perhaps it’s a new crew, a new name, and a new location – but their offerings are the same and they are strapped with all of the information, materials, and merchandise leftover from the original company. It is important during this time to be as streamlined as possible in transforming an old company into something new and successful.

To this end, document scanning can help companies make that transition as smooth as possible. While information may currently be held on paper, such information can easily be transferred to electronic files that can be used more appropriately during this time period that is so reliant on computers.

Document scanning refers to the transferring of information on paper to electronic files that can be held on the computer or on disk. Paper files are fed into commercial sized scanners where the information is scanned, captured, and then saved electronically. For new businesses that are trying to organize and are facing large volumes of paper documents held in numerous file cabinets, document scanning can offer the perfect resource to help them get organized quickly. Professional services that offer document scanning can handle large projects quickly and efficiently – able to scan papers through their large scanners and turn the project over to their clients in a short period of time.

Document Scanning Takes Burden off Employees

Filed under: Document Imaging — Document Scanning Service Expert @ 8:16 am

Employees in modern businesses are accustomed to wearing multiple hats; they can just as easily be called upon to head up a project as they are called upon to handle administrative duties. Today’s employee must be versatile, flexible, and able to multitask like never before. This is not to say, however, that company management is relinquished from their responsibility of creating as efficient of a workspace for their employees as possible. And in helping employees streamline their efforts and become as efficient in their job as possible, management may turn to professionals that offer document scanning.

Document scanning is a decidedly modern service – a response to our growing reliance on the computer. Through the document scanning process information on paper is scanned into commercial sized scanners that can handle large projects, after which the information is captured and saved electronically to disk.

The reason that document scanning is imperative in today’s workforce is that it relieves the burden of information retrieval. While it would be typical for most employees to go searching through file cabinets in search of information, today with document scanning, that same information is at our fingertips on the computer or on disk.

Document scanning mitigates the need for storage in file cabinets thus relieving space issues, allows employees to access the information that they need within moments, and ensures that information is saved in a safer, more organized manner. Further, document scanning ensures that companies have immediate access to information that they may need for compliancy reasons – thus eliminating a company’s vulnerability in such situations.

Additionally, document scanning can be completed quickly and efficiently – either within the professional facilities of those performing the document scanning, where client papers are removed to, scanned, and returned – or within the client’s offices if sensitive documents cannot be removed from the premises.
